Terms of Payment and Cancellation

f1 logoOn acceptance of each package booking application, 2016 Formula 1® Australian Grand Prix and Goway Travel will forward a confirmation outlining deposit ‘option’ dates together with final payment procedures. If payments are not received by the due date, packages will automatically be re-allocated without further notice. Travel insurance is highly recommended and available.

Payments 

Please Note: Please book your package immediately as they are on a first-come, first-serve base and may not be available if you delay your booking process.

Deposit Payment:
A deposit of $300 per person is due with the reservation request plus the cost of insurance if purchased. All deposits are NON-REFUNDABLE.

Cancellation

All cancellations must be received in writing. Where Packages are cancelled after confirmation, deposits relevant to the cancelled Packages will be forfeited. Following full payment and up to Friday, January 22, 2016, all Packages cancelled will incur a cancellation fee equal to fifty percent (50%) of the nett accommodation component price per person (less initial deposit). The ticket component of the Packages is completely non-refundable. From Thursday, January 28, 2016, onwards, all Packages cancelled (including no shows) will incur a cancellation fee equal to one hundred percent (100%) of the total package price per person.

Important Information

The 2016 Formula 1® Australian Grand Prix is scheduled for Thursday, March 17-Sunday, March 20, 2016

Rooms are on a “run of house” basis unless otherwise stated, no complimentary rooms are available. A minimum two-night stay is required in Melbourne during the Event, Friday and Saturday nights inclusive. It is a requirement that all room blocks for the Event incorporate a minimum two-night stay.

Distances from accommodation to various locations are approximate and have been provided as a guide only.

Additional ground travel arrangements are available via the 2016 Formula 1® Australian Grand Prix including return circuit transfers, airport transfers, hotel food/beverage packages, Melbourne sightseeing and pre/post Event tour programs.

Not less than forty-five (50) days prior to arrival, a final or complete rooming list must be received by Goway Travel so that all needs are met. This includes, but is not limited to all arrival and departure flights, dates, times etc. to ensure hotels are aware of these specifics and flights and accommodation dates correspond.

Double refers to a room with one double bed. Twin refers to a room with two separate beds. Single refers to one person using existing bedding in a double or twin room. Twin Share refers to two persons sharing existing bedding in a double or twin room. Triple share and Quad share refer to three and four people respectively sharing existing bedding in a two-bedroom apartment.

Hotel Information

Check-in time at most hotels is 2:00 pm local time, it may be possible that rooms will not be ready for occupancy prior to this time. If you feel it necessary, you can ensure immediate availability of rooms upon arrival by paying for an extra night's accommodation, booking rooms for the night before arrival. 

If you take this precaution, please advise Goway Travel accordingly so the hotel is aware that the rooms are “pre-registered”. Neither 2016 Formula 1® Australian Grand Prix, Goway Travel nor AGPC will be responsible for any charge for early check-in or late check-out.

Check-out time at most hotels is 10:00 am, although this does vary. Most hotels will make reasonable efforts to accommodate your clients’ departure requests. Rooms still occupied after the designated check-out time may incur charges up to a full day’s rates, depending on hotel policy.

All Wholesalers/Agents and their Ticket holders to the Event shall be bound by the following terms and conditions:

Tickets may only be advertised by the Wholesaler/Agent through print advertising or by posting an advertisement on the Wholesaler/Agent’s website, and only with the prior written consent of 2016 Formula 1® Australian Grand Prix and AGPC. Any such print advertising or website advertisement (including copy, artwork and designs) must be submitted to the 2016 Formula 1® Australian Grand Prix for AGPC’s written approval prior to production, distribution or posting. This will be forwarded to AGPC for approval at its absolute discretion. The costs of all advertising shall be met and shall be the responsibility of the Wholesaler/Agent. All advertising must include:

a. the statement “GOWAY is an independent contractor to, and is not an agent or associate of, The Australian Grand Prix Corporation or Grand Prix Travel®”; and

b. the statement “The Conditions of Attendance apply to tickets and attendance at the 2016 Formula 1® Australian Grand Prix. The Conditions of Attendance are available from AGPC on request or at www.grandprix.com.au and a copy is included herein”.

Goway Travel Terms and Conditions

DEPOSIT
Guaranteed deposit of $300 per person is due at the time of booking. Sorry, but this deposit is NON-REFUNDABLE. Insurance, which is strongly recommended, must be purchased at the time of deposit.

BALANCE OF PAYMENT:
Guaranteed balance of payment required six weeks prior to departure.
If the balance is not paid by the stipulated date, the right is reserved to cancel the booking(s) without further notice and without refund of deposit.

CANCELLATIONS:
Cancellations received more than six weeks prior to departure will incur a loss of the non-refundable deposit as specified above. Cancellations received 3 to 6 weeks prior to departure will be levied a fee of 25% of the fare. Cancellations received less than 3 weeks prior to departure will be levied a fee of 75% of the tour cost. Other specific supplier and airline cancellation penalties may apply in addition to cancellation and amendment fees charged by Goway. There will be no refund for unused land arrangements after departure from North America. All cancellations are required in writing.

INSURANCE
All passengers are STRONGLY URGED to take out adequate insurance coverage to protect themselves against cancellation due to illness prior to or during travel. In the event of a traveller becoming ill during a tour, all hospital and medical expenses are the traveller’s responsibility and they shall not be entitled to any refund, either total or partial, of passage money paid. Check with your travel agent as to what conditions and charges apply if you cancel your flight and/or land reservations.

FORCE MAJEURE
We shall not be liable for any claims, losses, damages, costs, expenses, delays or loss of enjoyment, of any nature or kind whatsoever, resulting from events beyond our or a supplier’s reasonable control, including but not limited to acts of God, strikes, lockouts or other labour disputes or disruptions, wars, blockades, insurrections, riots, earthquakes, weather conditions, floods or acts or restraints imposed by government authorities.

TRAVEL DOCUMENTS
Travel documents and tickets, joining and departure details, supplier addresses and phone contacts will be sent upon receipt of final payment.

Passports/VISAS
A passport valid for three months beyond the date of travel is required for entry into all countries. Visas may be required for certain countries; please inquire for details. Please check with your agent at the time of booking if visas are still required for these or other countries. If you are not travelling on an American or Canadian passport, it is imperative that you also check visa requirements for all of the destinations you will be travelling to or transiting through.

PRICES
Because of the volatility of exchange rates for many of the destinations Goway offers, we recommend you confirm our price at the time of booking. All prices are subject to change or surcharge. Once we have received your deposit you would be given the opportunity to pay in full to avoid a price increase (should it occur) or cancel your booking without penalty

AMENDMENT FEES
Once a booking has been made, any change is subject to a communications fee of $25 per change. Once documents have been issued, any change will be subject to a minimum administration fee of $50 in addition to communications charges.

BOOKING REQUIREMENTS
With all the great travel ideas we offer, it should be easy for you to choose a long holiday. If however you are not tempted to purchase a minimum of 7 days we regret we must charge you a booking fee of $50 per person. This will be added to your bill unless Goway issues your international air ticket.

OPERATOR'S RESPONSIBILITY
Goway Travel Ltd. and/or its agents, act only as agents for the client in all matters pertaining to travel. They assume no responsibility nor liability in connection with the service of any train, vessel, carriage, aircraft, motor or other conveyances which may be used, either wholly or in part, in the performance of its duty to the passenger; neither will it be responsible for any act, error, or omission, or any injury, loss, accident, delay or irregularity which may be occasioned by reason of any defect in any vehicle or through the neglect or default of any company or person engaged in conveying the passenger; or for any hotel proprietor, or hotel service, or for any other person engaged in carrying out the purpose for which tickets or coupons are issued. In the event that it becomes necessary or advisable for the comfort or well-being of the passengers, or for any reason whatsoever, to alter the itinerary or arrangements, such alterations may be made without penalty to the operators. Additional expenses, if any, shall be borne by the passengers, conversely refund will be made to the passengers if any saving is effected thereby. The Airlines concerned are not to be held responsible for any act, omission, or event, during the time passengers are not on board their planes or conveyance. The passage contract in use by the Airlines concerned, when issued, shall constitute the sole contract between the Airlines and the purchaser of these tours and/or passengers. The right is reserved to withdraw any or all tours should conditions warrant, also to decline to accept or retain any passengers as members of the tours. Goway Travel Ltd. or the agent can assume no responsibility for lost tickets or coupons.
